General Formatting Guidelines for Official Communications

  • Messages should be kept to 350 words or less, and should not contain attachments. The maximum allowable size for any message is 100KB.
  • Messages can be sent in plain text, rich text or HTML format.
  • Complex use of color and graphics affect file size and load time. If the document is very large or utilizes complex graphics, then the full text should be made available via the web and only a summary should be included in the message. The mail message would then include the URL (uniform resource locator) in the body of the message.
  • Information that must be submitted is:
    • Issuing Office
    • Date to be Distributed
    • Official Distribution List (Click here for list definitions)
    • Subject / Description / Title
    • Main Text of Notice
    • Person to whom responses should be sent
    • Signature Block (Author's name, affiliation, phone, email)
